Key Responsibilities

1. Facilities Oversight

  • Supervise cleaning, hygiene, and overall environment of the showroom and office.
  • Lead janitorial staff with clear direction and performance checks.
  • Conduct daily inspections for cleanliness and functionality.
  • Coordinate repair and maintenance of furniture, air conditioning, lighting, and plumbing.

2. Administrative Operations

  • Monitor and maintain stock of office essentials including stationery and supplies.
  • Oversee printer, scanner, and telecommunication systems.
  • Manage courier services, incoming mail, and front desk operations.
  • Maintain both physical and digital filing systems.

3. Vendor Management

  • Source and evaluate third-party service providers.
  • Negotiate and manage contracts to optimize service levels and cost-efficiency.
  • Ensure invoices are verified and payments are processed smoothly.

4. Budget & Cost Control

  • Assist in preparing the department’s budget.
  • Analyze administrative spending and suggest cost-saving alternatives without reducing quality.

5. Health & Safety Compliance

  • Implement protocols for fire safety, emergency evacuations, and first aid.
  • Supervise security systems and access control mechanisms.
  • Ensure full compliance with health and workplace safety standards.

6. Team Support

  • Offer admin assistance to departments like HR, Sales, and Accounts.
  • Schedule meetings, prepare reports, and coordinate official travel if required.
  • Welcome visitors and maintain a professional reception area.

What We Look For in an Admin Manager

You are a great fit if you:

  • Hold a Bachelor’s or Master’s degree in Business Administration or a related field.
  • Have 3–5 years of hands-on experience in managing corporate or showroom admin functions.
  • Are confident with facility and team supervision.
  • Are proficient in Microsoft Office (Word, Excel, Outlook).
  • Are well-versed in vendor dealings and cost negotiations.
  • Understand compliance procedures for workplace health and safety.
